Overview of Digital Health & Safety Policy: 

The Digital Health and Safety Policy at NEXUS OFS is designed to ensure that all delegates, whether participating in live training sessions or completing online courses, have a safe and supportive learning environment. This policy covers the physical, mental, and emotional well-being of our learners while they engage with our digital training resources. NEXUS OFS is committed to fostering an atmosphere where delegates feel secure, respected, and fully supported in their learning journey. 

This policy also includes guidelines on protecting personal data, safeguarding the privacy of participants, and promoting healthy online practices. We recognize the importance of balancing the accessibility and flexibility of online training with the necessary precautions to ensure delegates’ health and safety.

At NEXUS OFS, we are committed to the health, safety, and well-being of our delegates as they engage with our training programs. We aim to create a secure online environment that promotes effective learning while addressing potential risks associated with extended screen time, online security, and engagement in virtual classrooms. Our responsibility is to ensure that all participants in our training programs are provided with the tools and guidance they need to maintain their physical and mental well-being throughout their digital learning experience. 

As part of our mission to deliver quality education, we take proactive steps to minimize any risks related to digital training by incorporating essential practices such as regular breaks, appropriate workstation ergonomics, and the use of secure online platforms. We will also address any challenges related to online safety and ensure compliance with applicable laws, particularly those governing online privacy and data protection. 

Digital Health & Safety Objectives of the Organization: 

NEXUS OFS has identified several key objectives to maintain a healthy and secure online learning environment for all delegates. These objectives are as follows: 

    • Promote Physical Well-being: Encourage delegates to maintain good posture, take regular breaks, and ensure their working environment is ergonomically sound to reduce the risk of strain or injury during online training. 
    • Support Mental Health: Create a supportive online environment that reduces stress, fosters open communication, and provides a sense of community and engagement. 
    • Enhance Online Security: Ensure that all digital platforms used for online learning are secure, and delegate data privacy is protected in compliance with relevant laws and best practices. 
    • Ensure Safe and Secure Learning Environment: Implement security measures for online training environments to prevent unauthorized access and ensure that learners’ personal information remains confidential. 
    • Promote Active and Engaged Participation: Encourage delegates to be active participants in their learning journey while adhering to appropriate online etiquette and behavior. 
    • Risk Assessment: Conduct regular assessments of potential risks related to online learning activities and make necessary adjustments to mitigate these risks. 

How NEXUS OFS Upholds the Objectives: 

NEXUS OFS takes several actions to uphold its commitment to digital health and safety: 

    • Physical Well-being Measures: We provide training materials that emphasize the importance of regular breaks, hydration, and proper workstation setup. Regular reminders are sent out to delegates to encourage them to take breaks, stretch, and adjust their screen height for ergonomic comfort. 
    • Mental Health Support: We offer dedicated channels for support and feedback, ensuring that learners have access to assistance in case of any stress or anxiety they may experience during the course. We foster a positive and inclusive online environment, encouraging learners to share their concerns openly. 
    • Security Measures: NEXUS OFS uses secure online platforms (e.g., Zoom, Microsoft Teams) that comply with data protection regulations to ensure the safety and confidentiality of personal information. We also educate delegates about password security and the importance of not sharing login details. 
    • Participation Guidelines: We provide clear guidelines on professional behavior, online etiquette, and how to engage productively in virtual training sessions. Learners are encouraged to mute their microphones when not speaking, stay on topic, and respect the opinions of others. 
    • Risk Assessments: We conduct regular risk assessments of all online training sessions, considering potential hazards such as digital fatigue, cyber threats, and breaches of privacy. Based on these assessments, we update our policies and procedures to ensure the safety and well-being of all participants. 

Relevant Law and Legislation: 

NEXUS OFS adheres to the applicable UAE laws related to online learning, health, safety, and data protection. The relevant laws include: 

    • UAE Federal Law No. 2 of 2019 on the Use of Information and Communications Technology in the UAE Education Sector: This law ensures that educational institutions, including training providers, comply with digital safety standards in online learning environments. 
    • UAE Cybercrime Law (Federal Law No. 5 of 2012): This law establishes rules for online safety and addresses issues such as data protection, unauthorized access to computer systems, and privacy concerns. NEXUS OFS complies with these regulations by using secure platforms and protecting learners’ personal information. 
    • UAE Data Protection Law (Federal Decree-Law No. 45 of 2021): This law provides guidelines on how organizations should handle personal data, including the collection, processing, and storage of data. NEXUS OFS is committed to ensuring that all delegates’ personal information is handled in accordance with this law and is securely stored. 
    • UAE Labour Law (Federal Law No. 8 of 1980): While this law primarily governs employer-employee relationships, its health and safety provisions extend to online training, particularly for those who engage in digital work and training environments. NEXUS OFS complies with health and safety provisions to ensure a secure and healthy learning environment. 
    • General Data Protection Regulation (GDPR) Principles (if applicable): If NEXUS OFS engages with delegates outside of the UAE, we also adhere to the principles of GDPR when handling personal data. These principles align with international standards of data protection. 

By adhering to these regulations, NEXUS OFS ensures that all delegates are protected under the law while receiving quality training in a safe and secure online environment. 

Communications and Colleague Signature: 

To ensure the effectiveness of this policy, NEXUS OFS will communicate the Digital & Safety Policy to all employees, trainees, and stakeholders in a clear and accessible manner. This will be done through: 

    • Distribution of the policy during the onboarding process. 
    • Posting the policy on internal noticeboards and the company’s website for easy access. 
    • Regular communication via emails or meetings regarding updates or changes to the policy. 

All employees and trainees are required to acknowledge receipt and understanding of this policy. They will sign a declaration confirming they have read and understood the policy and agree to uphold its principles.
